How Clients Access Your Portal — No Registration Required

One of the most practical benefits of The Portal Genie is that your clients do not need to register for Portal Genie.

If a client exists in your connected accounting software with the appropriate email address, they can access your Client Portal through a secure one-time passcode (OTP) sent to their email.

No additional client registration. No separate Portal Genie password to remember.

How the access flow works

When a client wants to open your portal, the journey looks like this:

1. Client opens your Client Portal Link — from your website, an email or a direct link you have shared
2. Client enters their email address — the same email address stored against their contact in your accounting software
3. Portal Genie identifies the client — matching the email to the corresponding client or contact record
4. A secure OTP is sent — a one-time passcode arrives in the client's email inbox
5. Client enters the OTP — verifying their identity
6. The Client Portal opens — the client can view their documents, make payments and use portal features

This is not the client creating a Portal Genie account. It is secure, email-verified access tied to their existing relationship with your business.

What clients need

For a client to access your portal, they need:

• A contact record in your connected accounting software (Xero, QuickBooks Online or Sage Business Cloud)
• The correct email address on that contact record
• Access to that email inbox to receive the OTP

If a client's email has changed, update it in your accounting software so the OTP reaches the right inbox.

Sharing the Client Portal Link

You can give clients access in several ways:

• Add your Client Portal Link to a Client Login button on your website
• Include the link in emails and client communications
• Share the link directly with individual clients
